Executive Administrative Assistant

Provides a wide variety of advanced administrative support to Executive(s) and their direct reports (Management Team/Director(s) of Department(s)).  Provides support to departments including:  President of Stupp Corporation, Continuous Improvement Group, Safety & Loss Control, I/S, Purchasing, Human Resources and others, depending on the needs of the Company.
 

ESSENTIAL DUTIES AND RESPONSIBILITIES:
 
Coordinates and arranges meetings, prepares agendas, reserves and prepares facilities, and records and transcribes minutes of meetings.

         Coordinates departmental schedule and appointments.
         Vacation tracking and oversight.
         Travel coordination.
         General clerical:  Expense account administration, track meeting minutes, generate reports and data entry
         Presentation building and collation.
         Oversees and facilitates on-boarding of new hires within division.
         Works with Vice President, Corporate Strategy and Development to complete special projects as assigned.
         Manages approval routing and follow-up for Purchase Requisitions and CAPEX/Major Expenditures.
         Coordination of dinners and special presentations.
         Records and compliance administration.
         Maintains confidentiality of Stupp, customers, and suppliers with regards to practices, scheduling, pricing, etc.
         Backup support to Executive Assistant of President of Stupp Corporation.
         CIG building administration and guest coordination.
         Works overtime as required

EDUCATION AND EXPERIENCE:
 

Associate's degree and/or 2-5 years relevant experience as receptionist or office administrator.  Bachelor's degree preferred.

 

 
QUALIFICATIONS, SKILLS, AND ABILITIES:
 
                   Solid verbal and written skills required.

                   To perform this job successfully, an individual must be able to perform each essential duty satisfactorily.

                   Strong computer skills, to include MS Office, to include Outlook, Word, Excel and PowerPoint and the ability to learn new computer applications, as needed.

                   Excellent telephone presence.

                   Average math skills needed to review and approve time sheets, expense reports, invoices, and other reports.

                   Above-average reasoning ability

                   Strong customer service ability

                   Excellent organizational and time management skills

                   Must be able to handle several pending responsibilities at a reasonable pace

                   Strong attention to detail; demonstrates a high degree of accuracy

 

PHYSICAL DEMANDS:
 

Must be able to move about facility and spend time in mill environment.

 

 

WORK ENVIRONMENT:
 

Circumstances may require meetings throughout the facility, including the mill and offsite. Some travel may be required. The work environment characteristics described here are representative of those an employee encounters while performing the essential functions of this job.
